Vendor Information, Rules, and Regulations

Event Date: Saturday, September 14th, 2024 3:00 p.m. - 9:00 p.m.

Location: Main Street, Downtown Christiansburg, VA

 

The Basics

This is a rain-or-shine event.

The Food Truck Rodeo will be located in downtown Christiansburg between Hickok Street and Roanoke Street.

Event coordinators reserve the right to accept or decline any application.

Only applications received electronically with payment will be considered.

Fees and Discounts

All vendors will be required to pay a $150 non-refundable fee.

Applications and payment are due by July 15th, 2024.

Early Bird: Save $25 by applying by June 15th, 2024.

Passport Program: Save an additional $25 by participating in our Food Truck Pilot Program (details below in application section)

Once your application has been reviewed and approved, an invoice will be sent to the Primary Contact’s email address. A link to Square will be included in this email where the invoice can be paid.

Payments can be made by credit/debit card. A 3.75% surcharge will be added to all card transactions.

Day of Details

Upon arrival, Rodeo staff will direct vendors to assigned spaces where they may set up. Personal vehicles must be parked outside of the festival area.

Vendors may start setting up at 11:00 a.m. on the day of the event. Set-up must be complete with trucks staffed and all display material in place no later than 1:00 p.m.

Vendors are required to participate in the entire event. No food trucks/carts/vendors may stop selling food, pack-up, break-down or dismantle before the end of the event at 9 p.m.

Set-up and tear down are the sole responsibility of the participating food truck/vendor operator.

All food trucks must be 100% self-contained. Water, lighting, electricity, etc. will NOT be provided.

No preparation or storage of food, supplies and/or equipment is allowed outside of the vendor vehicle. Vendors may set up a small serving area in front of their food truck. Please indicate on your application if you will be needing this space.

All business and other activity, for which the vendors have space, must be conducted within the designated vehicle space only. No distribution, canvassing, flyers, nor vending of any kind may be done by strolling through the festival area.

Vendors are responsible for cleaning up their own areas, including taking trash to trash receptacles on-site. Please leave your space free of trash and debris and dispose of all pollutants such as trash, dirt, unfinished beverages, and any other type of trash in the proper manner.

Vendors are responsible for proper disposal of grease. No dumping of grease is allowed.

At no time is trash, debris, grease, ice, or any type of liquid to enter a storm drain.

Vendors are solely responsible for collecting, reporting, and paying all applicable sales taxes collected.

No smoking is permitted by vendors or employees during the hours of operation within the festival premises. The use of illegal substances is prohibited at the Rodeo and on town property.

Each vendor will be responsible for all their own merchandise and/or equipment. Downtown Christiansburg, Inc. or the Town of Christiansburg will not be liable for any lost, stolen, or misplaced merchandise or equipment at the event.

Each participating food truck/vendor operator must accept responsibility for ensuring that all individuals staffing the booths are familiar with and adhere to these guidelines.

Health and Safety

All vendors must have a copy of their annual health department permit, and any other necessary permits, licenses, documentation, etc., as required by any governmental entity and must be ready to present such permits if asked to do so. A copy or picture of the annual health department permit will need to be emailed to events@downtownchristiansburg.org after you’ve submitted your application.

All vendors must complete a Temporary Event Application Packet.

All food trucks will need to have a current fire inspection sticker (Regions 4 or 6 in Virginia) before the day of the event.
